Product & features
What is Mishka exactly?
Mishka is a project management SaaS designed for communication agencies and freelancers. It centralizes clients, projects, missions, tasks, editorial calendar, Documents hub (meeting notes and PDF reports), analytics, job roles and client credentials in one clean interface.
Who is Mishka for?
Mishka is built for communication agencies (2-50 people), freelancers managing multiple clients, and editorial teams producing content regularly. If you juggle clients, deadlines and publications, Mishka is for you.
What views are available?
On list pages (clients, projects, missions, tasks), two views: table, dense, and card grid, more visual. Inside a project or a mission, tasks can additionally be shown as a drag-and-drop kanban and as a calendar. You switch in one click and your preference is remembered.
What is the client portal and from which plan?
The client portal is an external space that you open to each of your clients. They follow their projects, deliverables, the documents you publish and the editorial calendar; they approve or request changes, comment and open requests. It is included from the Solo plan. Branding it with your agency colours and logo is available from the Team plan. One advanced option, the client-side admin role, requires the Studio plan.
How do my clients sign in to the portal?
With a magic link: your client enters their email address on the portal login page and receives a link that signs them in with one click. No password to create or remember. You choose, client by client, which sections are visible and each person’s access level (read-only or approval).
Are client portal accesses billed?
No. Portal accesses are unlimited and free: they never consume a seat of your subscription and are never billed. Only your team members count towards your plan seats.
Is the client portal available in English and in dark theme?
Yes. Each contact picks their language (French or English) and theme (light, dark, or follow their device) right from their portal settings. Their preferences are remembered and independent from your agency’s.
Is there an editorial calendar?
Yes! The editorial calendar shows all your content tasks on a weekly or monthly view, with platform, format, status and priority. Available from the Solo plan.
What is the credential vault?
The credential vault lets you store your clients' social media logins and passwords securely. Passwords are AES-256 encrypted and decrypted only on demand. It supports 10+ platforms (Instagram, Facebook, LinkedIn, TikTok, etc.), 2FA tracking and password age alerts.
Can I customise platforms, statuses and content types?
Yes! From the Solo plan onwards, you can fully customise your lists of platforms (Instagram, LinkedIn, TikTok…), content types, editorial statuses, task & mission statuses, and content objectives. Customisation is available at organisation, client or project level. Settings cascade down automatically: a project inherits from its client, which inherits from the organisation.
What is the difference between a meeting note, a performance report and a client report?
The Documents hub covers three types: meeting notes (structured minutes with participants and linked tasks), performance reports (KPIs, team time, burndown, internal use) and client reports (branded deliverables for your clients). All export to PDF in your agency colours.
How does document PDF export work?
From the Documents editor, export a PDF in one click that preserves headings, tables, colours and highlights. Large reports can generate in the background. Available from the Solo plan.
Do PDF reports preserve formatting and branding?
Yes. PDF exports preserve editor formatting (headings, lists, bold, italic, colours, highlights, tables) and the branding colours configured for your agency.
Do my old meeting-note links (/meetings/…) still work?
No. Since v1.4.0, the historical /meetings/… addresses and the old PDF export address are no longer resolved. Your meeting notes are not gone: they live in the Documents hub. Open Documents, find them by client or via search, and share the new link.
Can I connect Mishka to my other tools?
A read-only public API v1 lets you list projects and tasks via a personal access token (Bearer). It is rate-limited and scoped to your organisation data. On the Enterprise plan, you create and revoke your tokens yourself from the API tab of the Organization page.
Are client and project settings available in English?
Yes. Client and project settings tabs (editorial lists, statuses, org inheritance) are fully available in French and English.
Can I use Mishka on mobile?
Mishka is fully responsive and works on mobile and tablet browsers. A native mobile app (iOS and Android) is on the public roadmap (v2.0).
Is there a free plan?
Yes, the Free plan is free forever with up to 5 clients and 1 GB of storage. Every new Free account also gets a 14-day Solo trial to explore all features.
What can AI do in Mishka?
Five uses, all on demand ("Generate" button): a project state summary, a client account synthesis, a meeting note summary, writing assistance inside your documents (draft, rephrase, shorten, expand, fix) and a personal daily brief on the dashboard. Included from the Studio plan, with a monthly quota per organization (100 on Studio, 300 on Team, 1,000 on Agency, unlimited on Enterprise). Generated content is a decision aid: review it before any binding use.
Getting started & migration
How long does it take to get started?
Less than 5 minutes. Create your account, add your first client, create a project and start adding tasks. No configuration, no training needed.
Can I import data from other tools?
Yes, from the Solo plan: an import assistant (sidebar → Import) brings your projects and their tasks over from a CSV file, a Trello board, an Asana project or a Notion database, attached to the client of your choice. Source statuses are mapped to Mishka statuses (pre-filled suggestions), tasks are assigned automatically when the source provides an email, and your connection keys are encrypted for the duration of the fetch, then erased. The onboarding team remains available for free if you prefer guided help.
Is there an onboarding or training?
Yes, and it is not reserved for any plan: the onboarding call is free and offered on every sign-up, Free included. Since Enterprise plans are sold on quote, additional training sessions can be arranged — their number and format are then set in the contract. The interface is still designed to be picked up without training.
What happens to what is not imported (attachments, comments)?
Attachments, comments, subtasks and custom fields are not brought over, whatever the source; archived items are ignored. Each imported task keeps a link to the original item at the end of its description, so you can go back to it as long as the source tool stays open.
What is imported, source by sourceCan I re-run or cancel an import?
An import cannot be undone: the projects and tasks it created are deleted like any other project. Re-running the same import creates duplicates; the assistant warns you when these data have already been imported, the decision is yours.
How long does an import take?
The assistant fetches the data, then creates projects and tasks in batches, with a progress screen. A typical board or project is quick; very large Notion databases take longer, since the Notion API limits requests per second. Limits: 100 projects and 5,000 tasks per import.
Comparisons
What's the difference with Notion?
Notion is excellent for documentation and free-form databases, with automations and a mobile app Mishka does not have yet. However it has no client space: your clients join as guests page by page, with no deliverable approval, and project management has to be built from templates (official pages consulted on September 2, 2026). Mishka ships ready-to-use project management with a client portal where your clients approve, from the Solo plan, and imports your Notion databases.
Mishka vs Notion comparisonWhat's the difference with Trello?
Trello remains unbeatable for simple kanban, with Butler and a mobile app. But it has no client space (the client joins the board as a guest), no deliverable approval, and a guest present on several boards is billed at full price outside Enterprise, according to its official pages consulted on September 2, 2026. Mishka adds the portal with approvals, never-billed guests, the editorial calendar, the credential vault and PDF reports, and imports your boards.
Mishka vs Trello comparisonWhy not Monday or Asana?
Both have automations and integrations Mishka does not have yet. On Asana, deliverable approvals are reserved to the Advanced plan at $24.99 per user; on Monday, guests cost one seat per four from the Standard plan (€12) and no approval feature was found (official pages consulted on September 2, 2026). For a 3-person agency whose clients approve, that is about $75 on Asana and €36 plus guest seats on Monday, versus €32.50 per month on yearly billing (€39 monthly) for Mishka Studio, portal and approvals included.
Mishka vs Asana comparisonWhy not a spreadsheet or Google Sheets?
Spreadsheets work for simple tracking, but lack structure, access control, notifications and calendar views. Mishka gives you the structure of a PM tool with the simplicity of a spreadsheet.
Security & GDPR
Where is my data hosted?
Application data (database, files) is hosted in the European Union (Supabase - EU West, Ireland). The web application is served via Vercel (United States), with Standard Contractual Clauses for GDPR compliance.
Is Mishka GDPR compliant?
Yes. You can export your data (Profile → Security) and request account deletion from your settings. We provide a Data Processing Agreement (DPA) for business data you enter about your clients. We never sell your data.
How to delete my account and data?
From Profile → Security, request account deletion. A 14-day grace period allows you to cancel. If you own an organization with other members, you must transfer ownership first. After the grace period, your personal data is permanently deleted.
Is my clients' data protected?
All data is encrypted at rest (AES-256) and in transit (TLS 1.3). Access to your workspace is strictly limited to your team members. The client portal is isolated end to end: an invited client only sees what you publish for them — never your internal workspace, nor another client’s data.
How are client credentials stored?
Client credentials (social media logins, passwords) are stored in an encrypted vault. Passwords are encrypted with AES-256 and are only decrypted on demand, one at a time. Access is audit-logged and passwords older than 90 days trigger visual alerts. 2FA tracking (app, SMS, email) is also supported.
How do I unsubscribe from engagement emails?
Each engagement email (onboarding, weekly report, inactivity) includes a one-click unsubscribe link, accessible without logging in. You can also manage preferences from Profile → Preferences.
Do you use my data for AI or analytics?
Analytics (Google Analytics) only runs with your explicit cookie consent. Your business data is never used for advertising. AI features (summaries, briefs, writing assistance — Studio plans and above) run only on your explicit request: only the work data needed for the requested synthesis is transmitted to the provider (Anthropic, under standard contractual clauses), never client credentials or passwords, and it is not used to train its models. Details are in our privacy policy.
How do cookies and analytics work on the Mishka website?
A cookie consent banner lets you choose which cookies to accept on the marketing site and in the app. Analytics cookies (Google Analytics with Consent Mode v2) are only activated if you accept them. See /cookies or use "Manage cookies" in the footer.
Pricing & billing
What plans are available?
Six plans: Free (forever free), Solo (€14/mo), Studio (€39/mo for 3 seats), Team (€89/mo for 6 seats), Agency (€249/mo for 15 seats), and Enterprise (custom quote). Annual billing saves 17%.
Can I change plans at any time?
Yes, you can upgrade or downgrade at any time. Upgrades are immediate with prorated billing. Downgrades take effect at the end of the current billing period.
Is there a trial period?
Yes, a 14-day free trial, no credit card required. Clicking “Start free trial” on Solo, Studio or Team lets you try that specific plan for 14 days. A plain Free signup gets a Solo trial. At the end of the trial, you return to the Free plan if you don't subscribe.
What payment methods are accepted?
We accept all major credit cards (Visa, Mastercard, American Express) via Stripe. Invoicing is available for Enterprise plans.
Can I cancel my subscription?
Yes, cancel anytime from your billing settings. Your subscription remains active until the end of the current billing period. No cancellation fees.
What exactly does the support included in my plan cover?
A committed response time, not an access right. Our contact address is public and appears in the site footer: anyone can write to us, account or not, and we answer everyone. What your plan adds is a delay we commit to: 2 business days from Studio, 1 business day on Agency and Enterprise. There is no ticket to open and no automated queue: you write, a human answers. Since Enterprise plans are sold on quote, a different service level may be set in your contract, which then prevails over these delays.
Storage & files
What storage is included in each plan?
Free: 1 GB. Solo: 15 GB. Studio: 30 GB. Team: 75 GB. Agency: 200 GB. Enterprise: custom storage. For more space, simply move up to the next plan.
What happens if I exceed my storage quota?
You are alerted as soon as you reach 80% of a quota (clients, projects, storage). Past the limit, only new creations are blocked: nothing is deleted and you keep read access to all your content. You can upgrade your plan at any time or free up space. Organizations already above their tier get a 30-day notice.
What file formats are supported?
All common file formats: images, documents, design files, archives. Maximum file size is 50 MB.
Collaboration & team
How do I add team members?
From your organization page, add members by email. Then manage their access per client or per project - all from the same page.
Can I create multiple organizations?
From the Team plan. Your personal workspace is always included, whatever your plan; creating additional organizations — each with its own subscription, members and data — is included from the Team plan. Switch between them in one click.
What roles are available?
Three organization roles: Admin (full access, billing, member management), Member (access to assigned clients/projects), and Guest (read-only on specific projects). You can adjust access per client or per project.
What is the difference between org role and job role?
Org role (Admin, Member, Guest) defines access to the organisation, billing and global permissions. Job roles (Project Manager, Community Manager, Designer, Copywriter…) describe each member profile, visible across the app and meeting PDFs, with filtering by role when assigning tasks.
How do notifications work?
You receive email notifications for mentions, task assignments, approaching deadlines and comments. Notifications are configurable per type and you can set up a daily or weekly digest.
